be-FULL is a daily check-in and AI habit-matching service for working adults. When you answer three questions each morning - how you slept, how demanding your day felt, and how your mood is - be-FULL processes that data to identify the single habit adjustment most likely to improve your week. Because the check-in data you share is personal, and in some cases touches on health-related dimensions of your daily life, we take its handling seriously. This policy explains exactly what we collect, why, how long we keep it, and what rights you hold under Japanese law.
be-FULL K.K. ("the Company," "we," "us," or "our") (Shibuya Scramble Square 39F, 2-24-12 Shibuya, Shibuya-ku, Tokyo 150-6139, Japan) is the personal information handling business operator for befull-lifedesign.org under Japan's Act on the Protection of Personal Information ("APPI"). Contact: [email protected].
1. What be-FULL Is - and Is Not
be-FULL is a consumer wellness and life-design coaching platform. It is not a medical device, does not provide medical diagnosis, and does not constitute medical advice. The habit suggestions it produces are based on patterns in your own self-reported data and are intended to support everyday wellbeing - not to treat, diagnose, or prevent any health condition. If you have health concerns, please consult a qualified healthcare professional.
2. Information We Collect
2.1 Check-in data you provide directly
The core of the Service is the three-question morning check-in: how many hours you slept, a 1-5 self-rating of your day's workload, and a mood marker you select from a short list. Over time, this forms a longitudinal record of your sleep patterns, workload rhythm, and emotional state. These dimensions are health-related and we treat them accordingly - they are not shared with third parties for advertising or unrelated purposes, and they are not used to train AI models without your explicit written consent.
2.2 Account information
To create an account you submit a name and email address. Paid subscribers also provide payment information, which is handled directly by our payment processor and is not stored on our systems.
2.3 Usage and technical data
We automatically collect standard technical information: device type, operating system, browser type, pages visited, session duration, and error logs. This is used to operate and improve the platform, not to build individual profiles for marketing.
2.4 Communications
If you contact us by email or through the contact form, we retain that correspondence to respond to you and, where relevant, to improve the Service.
3. How We Use Your Information
We use personal information collected through be-FULL for the following purposes:
- To operate the daily check-in and generate your weekly habit suggestion - this is the primary purpose for which check-in data is processed;
- To maintain your account, manage your subscription, and process payments;
- To send you the morning reminder and your weekly habit card (you may turn these off in settings);
- To monitor, debug, and improve the matching engine and platform performance;
- To respond to your enquiries;
- To meet our obligations under Japanese law.
We will not use your information beyond these purposes without your prior consent, except where APPI permits. We do not sell your personal data. We do not use your check-in or habit data to train external AI models without your explicit written consent.
4. Retention
Your check-in history is retained for the duration of your account and for 90 days after deletion, to allow for account recovery requests. Free-tier users can access 7 days of history within the Service; Full subscribers can access 90 days. We retain account information for up to 3 years after the last transaction for legal and tax compliance purposes. Communications are retained for up to 2 years.
5. Sharing and Cross-Border Transfers
We share personal information only with service providers who act on our behalf under written contracts - for example, cloud infrastructure providers and the payment processor that handles subscription billing. We do not share your check-in or habit data with third parties for their own purposes.
Some of our service providers are located outside Japan. Where your information is transferred to a foreign country, we obtain your prior consent and provide information about that country's data protection regime, as required by APPI Article 28. The countries involved are primarily the United States (cloud infrastructure) and, for payment processing, wherever our payment processor operates. Both operate under recognised data-protection frameworks.
6. Your APPI Rights
Under Japan's Act on the Protection of Personal Information you hold the following rights with respect to your retained personal data:
- Right to disclosure of retained personal data we hold about you;
- Right to correction, addition, or deletion if the data is inaccurate or unnecessary;
- Right to cease use or provision to third parties under certain conditions;
- Right to disclosure of records of provision to third parties.
To exercise any of these rights, email [email protected]. We will respond without undue delay. For most requests we aim to respond within 14 days. We may ask you to verify your identity before acting on a request.
7. Filing a Complaint
If you believe the Company has not handled your personal information in accordance with APPI, you may first contact us at [email protected]. You may also file a complaint directly with the Personal Information Protection Commission of Japan at ppc.go.jp.
8. Cookies
For full information on how we use cookies on befull-lifedesign.org, see our Cookie Policy. The short version: we use strictly necessary cookies to operate the Service, preference cookies to remember your settings, and anonymised analytics cookies to understand how the platform is used. We do not use advertising or tracking cookies.
9. Security
We use industry-standard security measures including encryption in transit (TLS) and at rest for personal data. Because check-in data touches on personal wellbeing, we apply stricter internal access controls to this category - only the matching engine and designated engineering staff with a specific need may access it. No technical measure is infallible; we will notify you if a breach affecting your data occurs as required by law.
10. Changes to This Policy
We may update this Privacy Policy when the Service evolves or legal requirements change. We will post the updated policy with a new "Last updated" date. For material changes affecting how we process check-in or health-related data, we will notify you directly by email at least 14 days in advance.
